Privacy Policy

How information obtained through inquiries and service engagements is handled.

1. Information We Collect

We collect, as necessary, names, company or organization names, departments and titles, email addresses, locations of target machines, inquiry details, requested delivery dates, information about equipment and working environments, and records related to contracts and delivery.

When the website is used, IP address, browser and device information, access time, referrer, and requested page may be recorded. Email inquiries provide information such as the sender address, message, attachments, and sent and received times.

2. Purposes of Use

  • Responding to inquiries and communicating with the requester
  • Evaluating feasibility, specifications, and quotations
  • Performing, verifying, delivering, revising, and maintaining contracted work
  • Managing contracts, invoices, and payment confirmation
  • Preventing and responding to misuse and information-security incidents
  • Meeting legal obligations

3. External Services

We use Onamae.com rental server and email services, pCloud, and Google Analytics. Autodesk Viewer is used only when required. Information may be stored or processed outside Japan when these services are used.

Service pages embed YouTube videos. The player is loaded from youtube-nocookie.com, and YouTube cookies are not stored until a visitor plays a video. Opening the page may send information such as an IP address to Google as the connection destination.

Overview of generative AI use

Generative AI is used to assist work and quotation review. We do not input confidential source materials, credentials, personal information, or third-party materials that we lack permission to disclose. Inputs are limited to public information, our generic code, mock data, and minimally abstracted technical requirements with identifiers and specific values removed or replaced. We check terms or settings that exclude training and model-improvement use. External transmission and service-side retention may still occur; the usage conditions are agreed before receiving materials.

4. Security Measures

Reasonable security measures are applied to devices, accounts, storage locations, and transfer methods. Customer-sharing areas and internal storage are separated, and multi-factor authentication and other appropriate access controls are used.

Receipt of materials

Confidential materials are received only after the services agreement sets how they will be handled. Do not include confidential information or files in the first email. Sending an inquiry, or reading this privacy policy, does not form a services agreement.

5. Retention and Deletion

Inquiry information and projects that do not proceed

Personal information is deleted promptly once inquiry handling has ended and the information is no longer needed. Materials received for an inquiry that does not become a contract are deleted promptly once they are no longer needed. Confidential materials are not received before the contract sets how they will be handled.

Projects with a service contract

Materials for a contracted project follow the confidentiality terms of that services agreement. Formation of the contract alone does not trigger deletion; materials are kept as needed for performance, acceptance, and corrections. Materials are normally returned or deleted within 30 days after their agreed purpose ends. Longer retention requires prior agreement, by writing or email, on its purpose, items, period, and what happens when it ends. Confidential information in work files, deliverables, and verification records follows the same conditions.

Records that must be retained

Legally required records and evidence of agreements, receipt, deletion, contract performance, or disputes are limited to the minimum necessary, access-restricted, and retained only for the required period. Not all inquiries or technical materials are treated as legally required long-term records. The standard retention period for website access and error logs is three months; external service retention conditions are also checked.

Temporary file-transfer copies

Within pCloud, receipt and delivery folders are kept separate from internal storage. Sharing is limited to the files intended for each project. After checking that received files are safely stored and readable, or after delivery is acknowledged or the notified download period ends, file requests are closed and shared links and invitation permissions are revoked. Temporary copies are deleted under the agreed conditions once their purpose ends. A new folder and link are created for repeat delivery or additional submissions.

Backups and file history

Deletion conditions also cover local working copies, external SSDs, and cloud history and recovery areas. Where individual deletion is difficult, the affected data and deletion cycle or deadline are agreed before receiving materials. Revoking a link does not mean complete erasure of the files and cannot remotely erase copies already obtained by the recipient. Exceptionally retained information is not used for other purposes.

Duration of confidentiality obligations

Confidentiality is set in the services agreement. It runs from signing until three years after the day following the agreed deadline for requesting corrections at no charge. If the contract ends early and that deadline is not set, it runs for three years from the day after the contract ends. Those three years do not mean the materials may be kept for the whole period. Return and deletion follow the rules above. A longer period required by law, or agreed for a specific case, still applies.

6. Access, Correction, Suspension, and Deletion

Requests concerning personal information held by us may be submitted by email via our contact page. We will respond after confirming identity and applicable legal and contractual requirements.

7. Cookies and Analytics
